Customers can manage cards, PINs and other information associated with their drivers from P-Fleet's customer portal. Start by logging in and navigating to the Drivers screen. This screen shows all of your drivers that have been entered into the system, including driver cards and PINs.
Driver Statuses
Each driver has a status (active or inactive). An active driver can have new cards or PINs created and assigned to that driver by an authorized user from your company. An inactive driver no longer has an active card or PIN.
Changing the status of a driver from active to inactive will cancel all cards and PINs for that driver. Cards and PINs are listed under each driver so you can see which assets will be affected before deactivating a driver.
Changing the status of a driver from inactive to active, however, will not immediately reactivate all cards and PINs for that driver. First, reactivate the driver. Then select a drop-down option from the Card Action field to reactivate or replace any cards or PINs associated with that driver.
Driver Departments
Each driver can be assigned a department if you choose. The drop-down menu for the Department field shows current departments that have been added to your account. If you need to add a new department, click Create Department under Actions in the top right corner of the page.
Additional information about drivers can also be stored within P-Fleet's customer portal. Click on the driver name, and you'll be redirected to a driver profile page. From there, you have the option of entering (or editing) the employee number, job title, driver's license or contact information of that driver.
Managing Other Restriction for Driver Cards and PINs
In addition to the Driver Status and Department fields, the following fields are displayed on the Drivers screen and allow users to update their fuel cards and driver PINs:
- Action: This allows you to cancel, replace or reactivate a card. If the record is for a Driver ID Only you can only cancel or reactivate that PIN.
- PIN: CFN cards require 5-digit PINs that cannot start with zero. PINs also cannot be overly simple (e.g., 11111, 12345).
- Tran. / Day: Number of transactions allowed per day.
- Valid Days: Days when purchases are allowed. If purchases should be allowed every day, select Mon and Sun as the beginning and ending days, respectively.
- Valid Times: Times of day when purchases are allowed. If purchases should be allowed at all times, select All and Day as the beginning and ending times, respectively.
Additional Driver Information
P-Fleet's website allows you to store additional driver information for your own reporting purposes (please note this information will only appear in the Driver report and will not change/affect card functionality).
Once you navigate to Drivers and click on the driver's name, you are able to enter the following fields:
- Employee number
- Job title
- License number
- License state
- Phone number
- Email address
Click Save when you are finished making your changes.
