Customers can easily order a new fuel card by logging into P-Fleet's customer portal. You will be able to select the PIN, specify limits and assign the card to a department if you choose. Start by navigating to the Cards screen. Click Create Card in the top right corner.
Create a New Card Request
A window will be displayed with options for creating new cards. Enter the number of cards that need to be ordered. Then choose the type of card and how the card will be tied:
- Card Type:
- Single: Card can be assigned to either a driver or vehicle. The PIN is assigned to the card.
- Vehicle: Card is assigned to a vehicle. PINs are assigned to drivers rather than the card. Any valid driver PIN can be used with the card. This enables the driver and vehicle to be identified at the time of fueling.
- Card Tied:
- Driver: Card will be tied to a driver record.
- Vehicle: Card will be tied to a vehicle record. If Card Type = vehicle, then Card Tied will be assigned as vehicle by default.
Click Submit once you've made your selections. You will then be redirected to a card order page to enter your card information.
Entering Information for Your New Card(s)
The fields below will be displayed. Depending on how cards will be tied, some fields that are not applicable will be disabled:
- Description: Description to be printed on the card. If the card will be tied to a driver, we recommend using the driver name. If tied to a vehicle, we recommend using the vehicle description.
- PIN: CFN cards require 5-digit PINs that cannot start with zero. PINs also cannot be overly simple (e.g., 11111, 12345). If the card type selected was vehicle, this field is not applicable.
- Vehicle: If a card is tied to a vehicle this field will appear, this is the 4-digit number identifying the vehicle.
- Gal. / Tran.: Number of gallons allowed per transaction.
- Tran. / Day: Number of transactions allowed per day. If the card type selected was vehicle, this field is not applicable.
- Gal. / Day: Number of gallons allowed per day.
- Valid Days: Days when purchases are allowed. If purchases should be allowed every day, select Mon and Sun as the beginning and ending days, respectively. If the card type selected was vehicle, this field is not applicable.
- Valid Times: Times of day when purchases are allowed. If purchases should be allowed at all times, select All and Day as the beginning and ending times, respectively. If the card type selected was vehicle, this field is not applicable.
- Products: Products allowed to be purchased. A list of product abbreviations is below. (Please note: Product restrictions are only available at CFN cardlock locations.
- Retail: This determines if a card can be used at select retail gas stations and truck stops, in addition to CFN locations.
- Department: This field is optional. Customers have the option to assign departments to their cards to track spending. Select the department you want to assign from the drop-down menu. You can create your own departments and manage them through the Manage Departments page in the User Menu.
These are the abbreviations for products that can be authorized for a fuel card:
- Dsl: Diesel and DEF
- Dd: Dyed diesel
- Unl: Regular unleaded gasoline
- Mul: Midgrade unleaded gasoline
- Pul: Premium unleaded gasoline
- Oil: Oil products
- All Products: All fuel and non-fuel products
Once all required fields are completed, click Submit. You will then be redirected to a confirmation page to review your order and select your shipping method.
Confirming Your Card Order
On the left, the cards requested will be displayed. If you need to remove any cards, click Delete.
On the right, you can specify the shipping address. By default, card orders are sent to the address on file. Changing the address on this screen does not change your account's default mailing address. To change the default mailing address, go to your account information page [insert link].
You can also specify the shipping method for your order. By default, cards are normally shipped via U.S. Postal Service with delivery estimated between 5 to 7 business days. Delivery times may vary, however, depending on your location. Shipping via UPS is also available, but current rates will apply and be charged to your next invoice. Click Submit to process your order.
You will receive an email confirming your order was received and another email when shipping occurs.
