P-Fleet makes it easy to generate and download fuel summary reports at your convenience! These reports can show you totals by drivers, vehicles, departments, or states for your convenience.
First, log into your account on our website. Then go to the Reports tab.
You'll see five options for Fuel Summary Reports. These indicate how the report is sorted:
- Fuel Summary Report - Driver
- Sorted by driver name. Any vehicles identified in transactions will be listed within that driver's transactions.
- Fuel Summary Report - Vehicle
- Sorted by vehicle number. Any drivers identified in transactions will be listed within that vehicle's transactions.
- Fuel Summary Report - Driver Department
- Sorted by departments tied to drivers. If you don't have driver departments set up, all transactions will be sorted under one blank department.
- Fuel Summary Report - Vehicle Department
- Sorted by departments tied to vehicles. If you don't have vehicle departments set up, all transactions will be sorted under one blank department.
- Fuel Summary Report - State
- Sorted by states where transactions took place
Once you decide which report you need, click "View Report". This report page looks similar regardless of which report you choose.
You can use our filters to see the transactions you need. Here's a breakdown of the options:
- Date Range vs Invoice Date: Date Range will search up transactions made within the selected range. Invoice Date will search up transactions that were billed on an invoice date within the selected range.
- Detail vs Summary: Detail will show you all transactions made while Summary will only show totals for the drivers/vehicles/departments/states (Please note that clicking from Summary back to Detail will reset your filter options)
- Driver, Vehicle, Department: These options allow you to see transactions only for the selected drivers, vehicles, or departments on your account.
Once you finish selecting your options, you can view the Totals for the selected transactions at the bottom of the page. You can also Export your report to PDF or CSV (opens in Excel).
You can also use the Search functionality to bring up any specific drivers/vehicles/departments. Please note that anything that comes up in Search will not be saved if you click Export.
